Creating your own materials

We love people raising awareness and support for Grace Eyre. We have a lot of ready-made resources for you to use, but we also know we are part of a very creative community. If you’re making your own posters or promotional materials, it’s important to ask permission to use our logo or photos too, so don’t hesitate to get in touch.

Keep it legal

If you’re holding a raffle, event or collection, it’s important that you keep it legal. Please read our guidance below or contact our Fundraising Team for more information.

Raffles

Raffles, sweepstakes and charity lotteries are a great way to raise money, but they also have strict regulations in place.

The safest and easiest way to hold an “incidental raffle”, this is a raffle that is held at an event. For this you must:

  • Only sell tickets at the event
  • Hold the draw at the event itself
  • Only take a maximum of £100 from the amount raised to cover the cost of prizes.

You must not:

  • Sell tickets in advance
  • Apply Gift Aid to the money
  • Rollovers are not permitted

Collections

We have Grace Eyre collection tins available for you to use. These should be sealed with a security sticker and should be kept sealed until they are returned to the fundraising team. Make sure any children helping to collect money are supervised at all times.

If you are collecting money in a public place, you must have a licence from your local authority. You can apply for this on behalf of Grace Eyre, or we can do it for you. The application takes a minimum of 28 days so do bear this in mind. Some areas have a very limited number of licences to issue, so it’s best to ask us first.

If you are collecting on private property, you will need written permission from the landowner or manager.

You are not allowed to collect funds by going door-to-door, even if you know them. The Fundraising Regulator has strict guidelines on who can carry out this type of fundraising.

Licences

Check with your venue that they are fully licensed for your event, including music and alcohol licences. You may need to file a Temporary Event Notice with your local council. Visit your local authority website for more details.

Insurance and Health & Safety

Grace Eyre cannot accept any responsibility for accident, injury, loss or damage as a result of your fundraising event or activity. We therefore strongly recommend that you check that you have adequate insurance and take all reasonable steps to ensure the safety of all concerned. You will also need to check any third-party supplier’s public liability insurance.

Don’t do anything that will put you, your supporters or the public at risk of harm. You can carry out a risk assessment to help you recognise the potential risks and hazards that your event may bring, and how you can minimise them.

Food hygiene and safety

Food hygiene and safety is really important, especially around allergies. If your fundraising involves food, please take extra care when preparing, storing or serving food and ensure the ingredients are clearly marked.
